Why settlement files and ledgers disagree more often than finance expects

Timing cut-offs, partial captures, and fee postings that land a day later create silent gaps in daily payment reports.

Most payment operations teams trust the processor dashboard until month-end. By then, small daily mismatches have compounded into a reconciling item that absorbs days of analyst time.

Common causes include cut-off differences between capture and settlement dates, partial authorisations that settle later, and fee invoices posted outside the transaction file. FX conversion at batch versus line level adds another layer when you settle in HKD against multi-currency processors.

A practical control is a same-day bridge report: expected bank credit from the settlement file, actual bank credit, and a variance bucket with owners. Accuracy audits then sample those bridges rather than rebuilding months of history from scratch.
